Privacy Policy

How Ralixar collects, uses, shares and protects information.

1. Introduction

Ralixar Private Limited ("Ralixar", "we", "our" or "us") builds AI-native software platforms for global trade, supply chain and logistics operations, including Ralixar GTM and Ralixar Field.

We respect your privacy. This Privacy Policy explains what information we collect, why we collect it, how we use and share it, how long we keep it, and the choices you have. Please read it together with our Terms of Service, available at www.ralixar.com/legal/terms.

If you do not agree with this Privacy Policy, please do not use our website or services.

Where we operate through group companies in other countries, the relevant entity will be identified in your contract or at the point of collection.

3. Scope of this Privacy Policy

This Privacy Policy applies to information we collect when you:

  • visit our website at www.ralixar.com and any related sub-domains (the "Website");
  • request a demo, download content, subscribe to The Brief (our newsletter), or join our Design Partner Programme;
  • register for, access or use our platforms, mobile applications and related services (together, the "Services"), including Ralixar GTM and Ralixar Field;
  • attend our webinars, events or trade shows, or otherwise interact with us as a customer, prospect, partner or vendor.

What this Privacy Policy does not cover

  • Customer Data. Our customers (for example, manufacturers, exporters, importers, logistics providers and customs brokers) upload and process business and shipment information on the Services, which may include personal information about their employees, suppliers, consignees, drivers and other contacts ("Customer Data"). When we process Customer Data, we do so on behalf of, and under the instructions of, our customer. The customer's own privacy notice governs that processing, and our contract with the customer (including any Data Processing Agreement) governs how we handle it. If your information has been uploaded by one of our customers and you have questions about it, please contact that customer directly. We will assist our customers in responding to your request where required.
  • Employees and job applicants. Information about Ralixar employees, contractors and job applicants is covered by a separate notice.
  • Third-party websites and services. Websites, applications or services operated by others, even if linked from our Website or integrated with our Services, are governed by their own privacy policies.

4. Information we collect

We collect only the information we reasonably need for the purposes described in this Privacy Policy.

4.1 Information you provide to us

  • Contact and business details: name, business email address, phone number, company name, job title, department, country and city, when you fill a form, book a demo, contact us, or request content.
  • Account information: name, business email address, role, login credentials and user preferences when you or your organisation create an account on the Services. We store passwords only in a securely hashed form.
  • Organisation information: legal entity name, registered address, tax and trade registration identifiers of the business, and billing contacts, where needed to set up and bill a subscription.
  • Communications: the content of emails, support tickets, chat messages, call notes, survey responses and feedback you send us.
  • Programme and event information: details you share when you apply for our Design Partner Programme, register for a webinar or event, or participate in research interviews.
  • Payment information: billing details processed through our payment partners. We do not store full card numbers on our systems.

4.2 Information collected automatically

When you use the Website or the Services, we and our service providers may automatically collect:

  • Device and connection data: IP address, browser type and version, operating system, device identifiers, time zone and approximate location derived from your IP address.
  • Usage data: pages and screens viewed, features used, links clicked, time spent, referring and exit pages, search terms, and the date and time of access.
  • Log and diagnostic data: system activity, performance data, crash reports and error logs used to keep the Services secure and reliable.

4.3 Information collected through our mobile applications

If you use Ralixar Field or another Ralixar mobile application, and only with the permissions you grant on your device, we may collect:

  • Location data at the time you record a milestone, capture a document or acknowledge an exception, so that shipment events can be time- and place-stamped.
  • Camera and file access to capture photographs of documents, cargo, seals or proof of delivery.
  • Device information and notifications tokens to deliver alerts and tasks.

You can withdraw these permissions at any time through your device settings. Some features may not work without them.

4.4 Information from other sources

  • Your organisation: if your employer or business partner invites you to the Services, they may provide your name, email address and role.
  • Publicly available sources: business information from company websites, professional networks and public registers.
  • Partners and service providers: event co-hosts, marketing and analytics providers, data enrichment services and resellers, where permitted by law.
  • Integrations you enable: information from third-party systems you or your organisation connect to the Services (for example, ERP, email, carrier or tracking systems), as directed by you or your organisation.

5. How we use information

We use the information we collect to:

  1. Provide the Services: create and manage accounts, authenticate users, deliver features, process transactions and provide customer support.
  2. Respond to you: answer enquiries, schedule demos, send requested content and manage Design Partner Programme participation.
  3. Communicate with you: send service announcements, security alerts, billing notices, product updates and administrative messages.
  4. Market our Services: send newsletters (including The Brief), event invitations and information about our offerings, where permitted by law and subject to your right to opt out.
  5. Improve and develop: understand how the Website and Services are used, fix problems, test features and develop new capabilities.
  6. Keep things secure: monitor for, investigate and prevent fraud, abuse, security incidents and violations of our terms.
  7. Meet legal obligations: comply with applicable laws, regulations, legal processes and lawful requests from authorities, and maintain business, tax and accounting records.
  8. Protect rights: establish, exercise or defend legal claims and enforce our agreements.

We will not use your information for a purpose that is materially different from those listed above without first informing you and, where required, obtaining your consent.

6. How our AI features handle information

Ralixar is an AI-native company. Our Services use artificial intelligence and machine learning to assist with tasks such as document extraction, classification suggestions, matching, prediction and exception prioritisation.

  • Human oversight. Our AI features are designed to assist people, not replace their judgement. Where a customs, regulatory or other statutory decision is involved, the Services are designed to route the decision to rules and to human review or confirmation.
  • Processing of Customer Data. When a customer uses AI features, the relevant Customer Data is processed to generate the output requested, on behalf of that customer.
  • Model training. We do not use Customer Data, or the inputs and outputs of AI features, to train or improve AI models that are made available to other customers, and we do not permit our third-party AI providers to do so.
  • Third-party AI providers. Some AI features may use models provided by third-party AI service providers. These providers act as our sub-processors, process data only to provide the requested output, and are contractually prohibited from using customer inputs or outputs to train their models.

7. Legal bases for processing

Where applicable law requires us to have a legal basis for processing personal information, we rely on one or more of the following:

  • Consent: for example, for certain marketing communications, non-essential cookies and mobile device permissions. You may withdraw consent at any time.
  • Contract: to provide the Services you or your organisation have requested and to perform our agreements.
  • Legitimate interests: to operate, secure and improve our business, understand our market and communicate with business contacts, provided these interests are not overridden by your rights.
  • Legal obligation: to comply with applicable laws, regulations and lawful requests.

8. How we share information

We do not sell your personal information. We share information only as described below:

  • Service providers and sub-processors: companies that help us run our business, such as cloud hosting, data storage, email delivery, customer relationship management, analytics, customer support, AI model providers and payment processing. They may access information only to perform services for us, under written obligations of confidentiality and security.
  • Our group companies: Ralixar affiliates, for the purposes described in this Privacy Policy.
  • Integrations and parties you direct: where you or your organisation instruct us to exchange information with third parties, such as carriers, freight forwarders, customs brokers, warehouses, banks, ERP systems or government and regulatory portals. These parties handle the information under their own terms and privacy policies.
  • Event and content partners: if you register for a webinar or event that we co-host, we may share your registration details with the co-host, as stated on the registration form.
  • Professional advisors: lawyers, auditors, accountants and insurers, under duties of confidentiality.
  • Legal and safety reasons: law enforcement, regulators, courts or other authorities where we believe in good faith that disclosure is required by law or legal process, or is necessary to protect the rights, property or safety of Ralixar, our users or the public.
  • Business transfers: a buyer, investor or successor in connection with a merger, acquisition, financing, reorganisation or sale of all or part of our business, subject to confidentiality obligations. We will notify you if your information becomes subject to a different privacy policy.
  • With your consent: any other party, where you have asked us to or agreed.

We may also share aggregated or de-identified information that cannot reasonably be used to identify you.

9. International data transfers

We are based in India and our Services are hosted on infrastructure in India (Mumbai).

Our service providers may process information in other countries. When we transfer information across borders, we take steps to ensure it receives an appropriate level of protection, including contractual safeguards with our providers and, where required, mechanisms recognised under applicable law (such as standard contractual clauses).

10. Cookies and similar technologies

We use cookies, pixels, local storage and similar technologies on our Website and Services. Cookies are small text files placed on your device that help websites work and provide information to site owners.

We use the following categories:

  • Strictly necessary: Enable core functions such as page navigation, security, load balancing and login sessions. No – the site cannot function properly without them.
  • Functional: Remember your preferences, such as language and region. Yes, can be turned off.
  • Analytics: Help us understand how visitors use the Website so we can improve it. Yes, can be turned off.
  • Marketing: Measure campaign performance and show relevant content on other sites. Yes, can be turned off.

You can manage your preferences at any time using the Cookie Preferences link in our Website footer, or through your browser settings. Blocking some cookies may affect how the Website works.

11. How long we keep information

We keep personal information only for as long as is necessary for the purposes described in this Privacy Policy, including to provide the Services, comply with legal, tax and accounting obligations, resolve disputes and enforce our agreements.

As a general guide:

  • Account information is kept while the account is active and for a reasonable period after it is closed.
  • Prospect and marketing information is kept for a reasonable period after our last meaningful interaction, or until you unsubscribe or ask us to delete it.
  • Support communications are kept for a reasonable period.
  • Billing and transaction records are kept for the period required by applicable tax and accounting laws.
  • Customer Data is retained and deleted in accordance with our agreement with the relevant customer.

When information is no longer needed, we delete it or anonymise it so that it can no longer be associated with you.

12. How we protect information

We use reasonable technical and organisational measures designed to protect information against unauthorised access, loss, misuse, alteration and destruction. These include:

  • encryption of data in transit [TLS 1.2 or higher] and at rest [AES-256];
  • tenant isolation, role-based access controls and least-privilege access for our staff;
  • multi-factor authentication for administrative access;
  • logging and monitoring of access to systems and data;
  • secure development practices, vulnerability management and periodic security testing;
  • confidentiality obligations and security training for our personnel and contractors.

No method of transmission over the internet or of electronic storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential and for telling us promptly if you suspect unauthorised use of your account.

If we become aware of a security incident affecting your personal information, we will notify you and the relevant authorities where required by applicable law.

13. Your rights and choices

Depending on the laws that apply to you, you may have some or all of the following rights:

  • Access: ask for a copy of the personal information we hold about you.
  • Correction: ask us to correct inaccurate or incomplete information.
  • Deletion: ask us to delete your personal information.
  • Restriction: ask us to limit how we use your information.
  • Portability: receive your information in a structured, commonly used, machine-readable format.
  • Objection: object to processing based on our legitimate interests, including profiling for direct marketing.
  • Withdraw consent: where we rely on consent, withdraw it at any time. This will not affect processing already carried out.
  • Complaint: raise a concern with us or with a data protection authority in your jurisdiction.

How to exercise your rights. Email admin@ralixar.com with the subject line "Privacy Request". We may need to verify your identity before acting on your request. We aim to respond within 30 days. Some rights are subject to legal limits, for example where we must keep information to comply with the law.

If your request concerns Customer Data that we process on behalf of one of our customers, we will refer your request to that customer and support them in responding.

Your account. Registered users can review and update certain profile information directly within the Services.

14. Marketing communications

You can opt out of marketing emails at any time by clicking the "unsubscribe" link in any such email or by writing to admin@ralixar.com. Even if you opt out, we may still send you non-promotional messages, such as account, security, billing and service notices.

15. Third-party links and services

Our Website and Services may contain links to, or integrations with, third-party websites, platforms and services, including government and regulatory portals, carriers and social media platforms. We are not responsible for the privacy practices or content of those third parties. We encourage you to read their privacy policies before sharing information with them.

16. Children's privacy

Our Website and Services are intended for businesses and are not directed at individuals under the age of 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us at admin@ralixar.com and we will delete it.

17. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, Services or legal requirements. When we do, we will revise the "Last updated" date at the top of this page. If the changes are material, we will provide a more prominent notice, such as an email to account holders or a notice on the Website or within the Services, before the changes take effect.

We encourage you to review this page periodically.
